RJS Grading is a Raleigh-based civil excavation and underground utility contractor. Our work includes grading, sitework, utilities, clearing, demolition, hauling, and related site services. About the Role

As our Office & Project Coordinator, you'll connect the records, deadlines, and people that support daily construction operations. You'll handle office administration, prepare billing and payroll information, maintain project documentation, and follow up with customers, vendors, and field leaders.

You'll report to Erin, our Financial Officer, and work closely with ownership and project leadership. Financial oversight and payment approvals remain with Erin; technical accounting and tax work remain with designated accounting professionals.


Schedule: Monday-Friday, 8:00 a.m.-5:00 p.m., with occasional remote support for urgent payroll or document issues between 5:00 and 6:00 p.m. Eastern. Hours may be shortened later in the same workweek to stay within 40 working hours. All work time is recorded and paid, including applicable overtime. 


Key Responsibilities

  • Manage routine calls, email, filing, calendars, and a current list of deadlines and open items.
  • Maintain job folders, contracts, permits, insurance certificates, W-9s, lien waivers, change logs, and closeout records.
  • Track bid invitations and deadlines, organize plans and addenda, request quotes, and coordinate approved proposal submissions.
  • Enter bills, receipts, deposits, and job costs in QuickBooks Desktop Enterprise.
  • Prepare invoices and pay applications by contract deadlines.
  • Track receivables, retainage, and unbilled work; follow up on collections and escalate disputes.
  • Prepare vendor-payment batches and payroll information using verified field hours and required approvals, including submissions through ADP.
  • Coordinate onboarding records, project meetings, inspections, and deliveries with the responsible project lead.

Qualifications

Required:

  • Experience in construction office administration, project coordination, project accounting, bookkeeping, or a closely related role.
  • Hands-on QuickBooks Desktop experience, including transaction entry and job coding.
  • Working knowledge of accounts payable, accounts receivable, billing, timekeeping, and payroll support.
  • Practical spreadsheet and shared-file skills.
  • Clear communication, careful handling of confidential information, and independent follow-through.
  • Comfort learning the Enterprise and hosted desktop setup used by RJS.

Preferred:

  • Construction job costing, pay applications, retainage, waivers, and insurance certificate experience.
  • ADP, bid administration, or conversational Spanish.

Strong accounting or coordination experience may offset limited construction experience.


Pay and Benefits

  • Full-Time Employment.
  • Pay: $31.25 - $38.46/hour, approximately $65,000 - $80,000 annually at 40 hours per week, plus overtime pay for hours worked over 40 in a workweek.
  • Starting pay based on demonstrated QuickBooks, construction billing, and coordination skills.
  • RJS pays 100% of employee-only medical insurance premiums. Employees pay additional premiums for spouse or child coverage.
  • Optional employee-paid dental and vision coverage.
  • Insurance eligibility begins on the 91st day of full-time employment, subject to enrollment requirements.
  • Up to 80 hours of PTO annually, accrued evenly each pay period from the first day and prorated for partial-year employment. Use requires approval; overtime does not increase accrual.
  • Six paid holidays: New Year's Day, Memorial Day, Independence Day, Labor Day, Thanksgiving Day, and Christmas Day. Saturday holidays are observed Friday; Sunday holidays are observed Monday.
  • SIMPLE IRA with company matching contributions up to 3% of compensation, subject to plan eligibility.
